Step 1 - Thank them for giving us their business
Step 2 - Speak like a human being, no scripted talk like a robot.
Step 3 - Apologize for the experience to make the customer understand you get their issue.
Step 4 - Acknowledge the incident to calm them down (this helps to have a less demanding customer in you hands, level up with the customer’s feelings, relate to them)
Step 5 - Remain calm at all times (remember: this is only business, customer happiness and satisfaction is number one priority and we cannot afford to lose a customer and potentially receive a negative feedback)
Step 6 - Hear them out, don't be defensive about the situation.
Step 7 - Promise that business will improve for the better in the future because of the incident.
Step 8 - invite them to return for the second chance to make the experience better by offering them special or discounts up to 15% or buy one get one free etc.
Step 9 - Customer MUST leave happy at all times. Not sure how to take the customer there? Ask for coworkers/managers/superiors help to solve the issue.
